Unlike some mistakes that can be quietly identified and corrected, payroll system errors tend to draw immediate attention. When exploring ways to minimize and proactively address these errors, many organizations have turned to smart systems, in some capacity, to assist with payroll processing accuracy. But trust in these systems, specifically any AI components, still varies, and before you can confidently use these tools, it’s best to understand different use cases and whether they can actually benefit your organization now or in the future.

In addition, these systems are built to constantly monitor and assess your payroll data to flag any employee anomalies such as unusual pay amounts or possible missed deductions. Filing reports and retaining records

  • Automatically adjusting your remittance schedule with Canada Revenue Agency (e.g., quarterly, monthly, bi-monthly) as your payroll changes over time

  • Securely and consistently saving all payroll records (e.g., pay stubs, time sheets, government forms) to allow easy access for review, employee reference or audit purposes, with built-in security controls (i.e., which employees can access what information).

Managing employee leaves, terminations and resignations

Any employee departure requires additional care to ensure that their pay is calculated accurately and on time. Smart systems can assist in different scenarios where payroll and finance professionals are often tasked with a variety of close-out activities, including the below.

  • Generating records of employment, whether for an employee leaving the organization permanently or temporarily (e.g., parental leave), to allow them to access Employment Insurance benefits.
  • Calculating final pay entitlement, taking into consideration any outstanding earnings still owed (e.g., unused vacation, overtime), required adjustments (e.g., unearned vacation taken, working partial pay periods before exit) and deductions.

Employee departures typically involve multiple departments working together, and well-integrated systems can send updates to keep everyone on the same page. This can start by flagging the departure with all impacted departments (e.g., human resources, finance, technology services), allowing shared access to key documents (e.g., record of employment) and tracking completed tasks to make sure no key steps are missed.

With technology adoption at the forefront in many industries, payroll processing is often presented as a natural opportunity to integrate new smart systems. While these systems can assist with some repetitive, time-intensive tasks, the division of labour across manual and automated needs to align with your organization’s readiness. While avoiding these systems and holding on to manual processes might feel more comfortable in the moment, all organizations should be prepared for technology to play some sort of role in their payroll processes. With that in mind, successful organizations tend to strike the right balance between adopting supportive technology and ensuring oversight and final decisions still remain with skilled payroll professionals.
