What is an AI voice assistant?

An AI voice assistant is a software program that uses AI to both understand and respond to spoken commands. It does this through natural language processing to determine what is being said, convert it to text and then perform tasks related to what it has been asked to do.

Business analyst Rhishav Das K says: “The primary benefit of AI chatbots is the significant reduction in time spent on addressing repetitive queries. Employees can get the information they need in real time, without waiting for HR or other departments to respond. This improves overall productivity and allows staff to dedicate their time to more critical tasks.”

AI for international businesses

Globalization, shift-work and modern technology create unique workplace dynamics. This includes workplaces where people are working remotely, in office or in hybrid settings, as well as in different provinces, time zones and even countries. These dynamics also create an opportunity to better utilize technology to educate, inform and reinforce organizational goals and policies so that employees can get the information they need in real time.

” When it comes to delivering a better employee experience, there’s more time to focus on career development, regular check-ins and better understanding what motivates your employees. There’s more time to build chemistry within your small business team ”

Real world applications

Elvira Ciambella, vice president and general manager at ADP Canada spoke to CanadianSME Small Business Magazine about the opportunities presented when time is freed up through the use of AI. Ciambella said: “When it comes to delivering a better employee experience, there’s more time to focus on career development, regular check-ins and better understanding what motivates your employees. There’s more time to build chemistry within your small business team.” She added: “As AI realizes its potential to streamline HR and payroll tasks that previously sucked up bandwidth, small business owners may find themselves with a lot more time to prioritize the activities that drive growth, innovation and a small business team that is cohesive, engaged and retained.”

How can AI voice assistants really help a business?

The usefulness of AI voice assistants for increasing productivity and communication in our personal and professional lives continues to grow and evolve.

Below are examples of how the application of AI voice assistants can benefit the workplace:

  • Offering answers 24-7 when other employees may be unavailable
  • Speeding up conversations, particularly assisting multilingual teams in communicating more effectively;
  • Analyzing and providing data on frequently asked questions to better train both employees and AI voice assistants for future queries;
  • Answering common questions during the interview and onboarding process, including providing interactive job descriptions;
  • Providing quick answers for common questions surrounding vacation allotments, benefits, entitlements and other HR and payroll matters, allowing employees to get the answers they need and return their focus to their work;
  • Offering a voice-assisted directory that points employees to qualified subject matter experts when AI cannot offer meaningful solutions;
  • Taking detailed minutes of meetings, including inferences on tone and key topics, and assigning items for further discussion and action; and
  • Sending out company-wide or carefully curated and segmented announcements, policy updates and event reminders.

How do I program an AI chatbot to answer the right questions in payroll and HR?

The right programming can apply to any AI chatbot application, HR, payroll, or even customer service.

To get started, identify the chatbot’s:

  • Goal and purpose;
  • Target audience; and
  • Scope and boundaries/domain.

Next, research and select the appropriate AI tool to meet your organizational needs.

Gather the information that will be fed to the bot to answer questions by:

  • Compiling FAQs from common employee questions;
  • Cleaning data to ensure correct and consistent answers; and
  • Monitoring to screen, add and adjust what answers will be provided.

When implementing, ensure you provide ample time for training, testing and adjustments based on feedback from your sample group. Once you have launched your chatbot, promote its use with employees on a regular basis, monitor its use and application and get feedback on items your chatbot is unable to answer to improve its overall performance.

Conclusion

Chatbots offer many opportunities to boost productivity and morale. Ensuring proper human-powered training, monitoring, evaluation and updates to AI products will keep systems running effectively. Careful implementation that includes research and development of best practices is critical to the ongoing success of AI voice assistants in payroll and human resources.
