“An automatic payroll process helps you comply with legal and tax requirements and simplifies the process of paying your employees. Many employers outsource the payroll function to an outside vendor or use payroll system software instead of relying on manual processes,” according to Marilyn Lindblad.
“Payroll systems calculate wages and deductions based on entered data, enable report printing for verification purposes, store payroll data, and enable W-2 printing and direct deposit. Because the system is automated, it simplifies payroll processing and reduces errors,” according to Grace Ferguson. So what can employers do to increase engagement and adapt to this new era?
Discover what these advantages are, according to Grace Ferguson:
-
Time-keeping Transportation
The automated time-keeping system allows the employer to import time clock data into payroll software.
-
Payment Calculation
Payroll software, such as QuickBooks, PenSoft, Z-Pay, Ultipro and Sage Peachtree, calculates gross-to-net earnings based on the payroll representative's data.
-
Deduction Calculation
Payroll automation can calculate the withholding tax for each employee based on the withholding conditions data input.
-
Record-Keeping
Payroll automation software can generate and store payroll and employment tax data.
-
Error Reduction
Payroll automation makes payroll processing simpler and reduces errors, which are more likely with the manual system.
-
Time-Saving
A manual payroll system requires that the payroll be processed by hand and is, therefore, a considerably slower procedure than an automated system.
-
Payroll Data Updates
Business owners must follow federal, state and local laws when hiring employees, offering compensation and withholding payroll taxes, deductions or garnishments. Payroll automation can help maintain this updated data.
Depending on the size of your company and the type of business you run, it may vary what kind of payroll software is best suited for you. It can be focused on HR Management, time-keeping, etc. Whatever payroll software provider you choose will bring a lot of benefits that manual payroll can not give.
Do you use automated payroll systems? If you do, which software do you use? Tell us in the comments section below.

Yes, we currently use Clarity but are looking for ways to further automate and find efficiencies in our processes, whether that be within the system we currently have or finding a new one. Would love to find one that has the HR component as well and that integrates with our accounting software too.
3 years agoGreat list. I agree with Denise. There isn’t enough automation within the HR aspects of payroll yet. Leading with a digital-first mindset is the first step toward any digital transformation.
3 years agoWe currently use Avanti for payroll, time and attendance and HR. It’s still a work in progress for the HR side of the business to really utilize it as an HRIS system.
2 years agoUKG system for us.
2 years agoWe are using ADP WorkForce Now for our payroll. It has HR modules within the program which are really helpful
2 years agoWe are currently researching options for a Payroll/HRIS/Scheduling system, can anyone provide their system and the pros and cons?
2 years agoScheduling is very important as well as employee ease of access and self serve.
We need the system to track items such as:
– actual date of increases
– leaves of absence/returns (if more than one)
– overtime worked/paid/used
– seniority and creditted service dates as well as hire/rehire dates
Any responses would be appreciated.
We currently use PayDirt for payroll and Lanteria for HR. Although we use automated systems, there are still lots of manual processes to move data between systems (timesheets, member HR data to payroll, calculation of project hours for wage uplift, stat holiday eligibility). We’re looking forward to using UKG later this year and eliminating a lot of our Excel spreadsheets and manual processes.
